Director of Finance and Administration, Mission Graduates

Since 1972, Mission Graduates has worked to increase the number of K-12 students in San Francisco’s Mission District who are prepared for and complete a college education. Our vision is a community where college is an expectation, rather than the exception. Our innovative programs serve 2,400 children, youth, and parents each year through in-school, after-school, and summer programming, with an annual budget of $3 million and growing. Our signature College Connect program continues to impact hundreds of students and families in San Francisco’s Mission neighborhood, and boasts an 88% college persistence rate, almost 4 times the average for first generation Latino college students. The organization enjoys diverse revenue streams, ranging from government grants, school district contracts, private and community foundations, individual donors, corporate support, and fee for service.  We have 48 staff, a strong, vibrant board and dozens of volunteers. While we are a small team, we are a collaborative team. We rely on creativity, flexibility, and a common commitment to social justice in all we do. The organization’s office is located a block from the Mission BART station and is easily accessible.

The Opportunity

We are seeking a talented and passionate Director of Finance and Administration to help lead the growth of our fiscal operations and oversee our administrative team. Reporting to the Executive Director, the Director of Finance and Administration will enhance and build effective financial and administrative systems, including financial, accounting, HR, IT, and physical infrastructure. This position will oversee the Operations Manager, who handles HR and operations, and supervises a part-time administrative assistant.  As a key member of the Leadership Team, the Director of Finance and Administration will work with the Executive Director, Board of Directors, Senior Program Directors, and finance / admin team to develop and implement strong financial and administrative systems needed to support our growth in the coming years.

As a member of the senior management team, the Director of Finance and Administration will be involved in strategic planning, evaluation, and professional development initiatives, as well shaping our unique cultures and values.

Key Responsibilities & Primary Duties

Financial Management:

  • Oversee accounts payable, accounts receivable, purchasing, donations processing and receipting, monthly bank, credit card, and petty cash reconciliations
  • Ensure security of funds and accurate account coding and entry to accounting system
  • Manage the cash flow and forecasting of the organization
  • Coordinate with all funding sources as required and ensure monthly, quarterly and annual financial agreements are met
  • Prepare and present operational and finance reports on a monthly basis for the Executive Director, Board of Directors and Leadership team

Financial Control and Risk Management

  • Ensure the efficient and effective management of all financial functions of the organization
  • Review, draft, implement and monitor internal controls and financial policies and procedures to ensure that the organization is protected from risk
  • Ensure that all statutory requirements of the organization are met
  • Work with the Development Director to evaluate the effectiveness of fund development tactics, revenue and receivables strategy
  • Assist the Executive Director and management team to analyze the results and trends in program and fund development activities

 

Budgeting and Reporting:

  • Develop the annual organizational budget with input from the Executive Director, Development Director, and Program Directors
  • Perform financial analysis, forecasting, reporting and monitoring the achievement of funding goals and the use of financial resources
  • Support the Directors and Managers in the development of annual budgets for agency costs centers, including program, fund development, marketing, and operations
  • Translate financial concepts to team members who may not necessarily have finance backgrounds and work with them to manage program budgets
  • Coordinate and oversee the annual audit

Administrative and HR Oversight

  • Supervise and provide professional development for the Operations Manager (the staff overseeing HR and operations functions)
  • Ensure the organization is implementing appropriate pre-employment screening, onboarding, and routine HR functions
  • Ensure the proper administration of staff payroll, and oversee 3rd party vendors providing organization’s insurance, and retirement systems
  • Work with staff, board, and outside consultants to ensure the organization has the IT infrastructure that meets the needs of a growing agency

Board Relations

  • Work closely with the Treasurer and Finance Committee to ensure appropriate fiscal monitoring and reporting are shared with the Board of Directors
  • Ensure the review and approval of the annual budget with the Finance Committee and Board of Directors
  • Effectively communicate and present all critical financial matters to the Board of Directors

Required Qualifications:

  • Accounting degree preferred, BS/BA Business Administration
  • 5 years financial management experience, including audit coordination, preferably with non-profits
  • Direct experience with $1-5 million organizations
  • Experience using Quickbooks and Salesforce
  • Excellent interpersonal, organization & team-building skills
  • Excellent conceptualization, problem-solving & project leadership skills
  • Ability to work well within a multicultural team environment with high standards, integrity, and a sense of humor
  • Bilingual Spanish/English helpful
